Coffeehub

Privacy policy

Last updated 23 October 2026

CoffeeHub is trading software for green coffee, run by R2E Soft Commodity Company, Amsterdam, the Netherlands (“we”). This policy explains what we collect, why, and your rights. It covers the CoffeeHub website, the app and buyer rooms.

Who uses CoffeeHub

Traders have an account and use the desk to manage lots, buyer rooms, deals, contracts and shipments. Buyers open a private buyer room from a link a trader sends them; they don’t need an account. For the data a trader enters about their own business and contacts, the trader decides what is stored and is responsible for it; we process it on their behalf.

What we collect

  • Account details: your email, password (stored encrypted by our login provider), trading name, company details and logo.
  • Business records you enter: lots and specifications, prices and costs, buyer rooms, contacts, deals, contracts, shipping details and documents you upload.
  • Buyer room activity: when a room is opened, which lots are viewed, sheets downloaded, orders, sample and requote requests, and chat messages. The trader who sent the room sees this activity. Buyers give their email when they order or ask something.
  • Invite requests: the name, company, email, WhatsApp number and details you send when you request access.
  • Billing: your plan and payment status. Card payments are handled by Stripe; we never see or store your full card number.
  • Technical data: basic logs (such as IP address and browser type) kept by our hosting provider for security and to keep the service running.

We don’t sell personal data, we don’t show ads, and we don’t use tracking or advertising cookies. We use only the cookies needed to keep you logged in.

Why we use it

  • To provide the service you signed up for: your desk, buyer rooms, alerts and documents (performance of a contract).
  • To send emails the service needs: room invitations, buyer activity alerts, order and document notifications.
  • To keep CoffeeHub secure, prevent abuse and fix problems (legitimate interest).
  • To handle invite requests and support questions (legitimate interest).
  • To meet legal and tax obligations, such as keeping billing records.

AI and translation features

Some features send text to outside processors: reading an offer you paste, the AI salesperson’s replies in buyer rooms, document checks, and translation. This text is sent to Anthropic (AI) and DeepL (translation) only to produce the result, under their business terms, which don’t allow them to use it to train their models.

Who processes data for us

We use these providers, each under a data processing agreement: Supabase (database, login and file storage), Vercel (hosting), Resend (email), Stripe (payments), Anthropic (AI features) and DeepL (translation). Some of them may process data outside the European Economic Area; where they do, transfers are covered by the EU Standard Contractual Clauses or an equivalent safeguard.

How long we keep it

We keep your account and records while your account is active. Deleted items stay in “Recently deleted” for 30 days and are then removed. When an account is closed we delete its data within 30 days, except billing records we must keep by law (up to 7 years in the Netherlands). Invite requests that don’t lead to an account are deleted within 12 months.

Your rights

Under the GDPR you can ask to see, correct, export or delete your personal data, or object to how we use it. Buyers can ask the trader who sent the room, or us directly. To make a request, use the account and data request form. You can also complain to the Dutch data protection authority (Autoriteit Persoonsgegevens).

Security

Data is sent over encrypted connections. Each trader’s records are kept separate, so one trader’s buyers can never see another trader’s data, and private fields such as your supplier and cost price are never shown to buyers.

Children

CoffeeHub is a business tool and is not meant for anyone under 18.

Changes

If we change this policy we’ll update the date above, and tell account holders by email about important changes.
